This policy explains what data CrowdPilot collects, how it is used, and your rights. We've kept it short because there genuinely isn't much to say — we collect only what's necessary to provide the service.
CrowdPilot requires an account to use. When you sign up, your email address and optional display name are collected and managed by Clerk (our authentication provider). See Clerk's Privacy Policy for details on how they handle your credentials.
When you enter a valid beta code, a cookie named cp_beta is set on your device. It contains your invite code to identify you as an authorised beta user. It expires after 90 days — you can re-enter the same code at any time to renew it, no new code required.
Songs, setlists, and gig settings you create are stored in our secure cloud database and synced across your devices. This data is associated with your account and retained until you request deletion.
When you use AI features (set building, coach, "Fix my set"), your gig settings and song metadata are sent to Anthropic to generate responses. This data is processed under Anthropic's Privacy Policy. We do not send any personally identifying information to Anthropic.
When you search for a song to add, your search query is sent to Apple's iTunes Search API. This is subject to Apple's Privacy Policy. We do not store your search queries.
If you accept analytics cookies, we use Vercel Analytics and Vercel Speed Insights to understand how the App is used and improve performance. These tools collect anonymised usage data (pages visited, load times). No personally identifying information is shared. You can decline analytics cookies at any time — the App works fully without them.
We use an error monitoring service to capture application errors and help us fix bugs quickly. Error reports may include technical details such as browser type, OS, and the page you were on when an error occurred. No personal data is intentionally included.
Our hosting provider (Vercel) may retain standard server access logs (IP addresses, request timestamps, response codes) for a limited period for security and debugging purposes. See Vercel's Privacy Policy.
We process data only as necessary to operate the App: authenticating users, syncing your songs and setlists, and forwarding AI queries. We do not sell or share your data with third parties for advertising or any other commercial purpose.
Your account and associated data are retained while your account is active. You may request full deletion of your account and data at any time via the contact page. Analytics data is anonymised and not linked to your account.
If you are in the UK or EU, you have rights including access, rectification, erasure, restriction of processing, and data portability. To exercise any of these rights, please contact us. We will respond within 30 days.
CrowdPilot is intended for users aged 16 and over. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has provided us with personal data, please contact us and we will delete it promptly.
We may update this policy from time to time. Changes will be posted on this page with an updated date.
The data controller responsible for your personal data is CrowdPilot, based in Canada. For any privacy-related enquiries, please contact us.
